Overview:

The Onsite Associate II Sales Support will support the Sales Management Staff on a daily basis. This position is also the primary backup for the Executive Assistant. The position provides meeting and document support for Sales Team.

Main Responsibilities:

To provide all levels of administrative and / or secretarial support to Operation management staff. Administrative activities include but are not limited to: 

  • Provide phone coverage.
  • Provide support as Greeter when necessary.
  • Open, sort and distribute mail. Review and prioritize as necessary.
  • Create and distribute technical and general correspondence, including presentations.
  • Maintain Sales managers’ calendars (through MS Outlook).
  • Email Management as requested.
  • Maintain general Document Management: Copying, Faxing, Scanning, Archiving.
  • General typing and data entry.
  • Prepare and process standard company forms.
  • Set up / maintain confidential files and records.
  • Oversee office equipment and facilities to ensure proper working order and appearance.
  • Responsible for Demo Room, maintaining inventory and in/out log for demo equipment.
  • Arrange meetings and travel as required.
  • May attend staff meetings and act as an administrative focal point for organization.
  • Preparation and distribution of monthly reports.
  • May perform independent assignments and / or projects as required.
  • Provide back-up coverage for Executive Assistant as necessary.
  • Provide appropriate communication, support and interface to both internal and external customers.
  • Support managers to ensure that business goals are met.
  • Assures quality in support of organization programs and new business strategies.
  • Print sales brochures and folders, maintaining inventory
  • Maintain and manage paper inventory
  • Maintain and manage office supplies and consumables for all facility equipment.

Essential Job Functions:
  • PC proficiency required: MS Excel, Word, PowerPoint & Outlook
  • Interpersonal skills

  • Able to interact with diverse employee and management population
  • Able to understand and apply Problem Solving and Quality Improvement Process

Skills and Qualifications:
  • AA degree or certification helpful.
  • 3+ years related administrative experience.
  • Able to interface with internal and external customers.
  • Familiar with information and word processing systems able to use appropriate software applications in
  • order to create complex documents.
  • Individual drive, initiative, requires minimal direction
  • Able to maintain confidentiality and act as a team player
  • Pays attention to details
  • Must be able to lift and move up to 40lbs.
