Position Summary:

The NBC Operations & Administration Specialist is responsible for end-to-end operational, administrative, and financial support for Xerox’s New Business of Consumables (NBC) portfolio. This role ensures accurate invoicing, shipment coordination, customer system uploads, and forecast tracking to support predictable revenue, strong cash flow, and seamless customer operations across global accounts.

Key Responsibilities:

Invoicing & Financial Administration

  • Generate and validate manual and system-based invoices in SupplyNet for NBC shipments and billing milestones.
  • Reconcile pricing, quantities, and contract terms to ensure audit-ready accuracy.
  • Track receivables, identify disputes, and partner with Accounts Receivable on collections.
  • Support Finance with required documentation for monthly close and reporting activities.

Shipment Coordination & Freight Management

  • Manage shipment lifecycles from PO receipt through delivery confirmation, including coordination with manufacturing and customers.
  • Maintain detailed PO tracking sheets capturing customer and Xerox part numbers, production schedules, shipment quantities, ETDs/ETAs, pricing details, and expected invoice timing.
  • Ensure high accuracy of tracking documentation, which supports shipping events, invoicing, and weekly financial reviews.
  • Coordinate freight bookings with Origin Managers and approved carriers, ensuring compliance with routing guidelines.
  • Manage air shipments when required, coordinating cost responsibility, warehouse execution, and customer communication.
  • Work with North America Transportation to prepare export documentation, customs forms, and compliance paperwork.
  • Provide customers with shipment documentation, tracking details, and required confirmations.
  • Invoice customers according to contractual shipment and delivery terms.

Customer Systems & Order Administration

  • Retrieve invoices from EIPP and upload them into customer systems or submit via designated email processes.
  • Validate invoice accuracy, logistics data, and supporting documentation prior to submission.
  • Resolve portal, upload, and data issues promptly to avoid billing delays.

Customer & Internal Support

  • Support customer inquiries related to logistics, invoicing, and manufacturing.
  • Partner with Origin Management and Transportation teams to resolve logistics or documentation issues.
  • Coordinate with Xerox delivery and manufacturing teams on production, labeling, or quality concerns.

Systems & Tools

  • SupplyNet & EIPP (Invoice creation and retrieval)
  • Invoice Automation (desktop-licensed software required)
  • Rocket Terminal Emulator
  • Global Transportation Management System (GTMS)
  • E2 Open (customer PO acknowledgments)
  • SG (customer invoice submission via email)

Qualifications:

Required:

  • Bachelor’s degree in Business, Supply Chain, Finance, or equivalent relevant experience.
  • 3–5 years of experience in operations, order management, logistics, or financial administration.
  • Strong Excel skills and experience with ERP systems (SAP preferred).
  • Exceptional attention to detail with the ability to manage accuracy under tight timelines.
  • Proven ability to collaborate across functions in a fast-paced, global environment.

Preferred:

  • Experience supporting manufacturing or high-volume consumables operations.
  • Knowledge of export documentation and international freight processes.
  • Exposure to forecast management or production planning.
  • Experience working with large enterprise customers and complex procurement systems.
