POSITION: Bid Specialist 

REPORTING TO: Director of Business Operations and Logistics

Powerland, a Xerox Business Solutions Company, is seeking high energy, self-starter individual that is looking to excel in their career as a Bid Specialist at our Powerland office in Winnipeg to support our IT Services Team. 


Key Responsibilities:
Bid Preparation and Strategy:
• Lead the end-to-end bid process, from opportunity identification to submission.
• Develop a comprehensive bid strategy in collaboration with sales and leadership.
• Conduct thorough research on client needs, competitors, and market trends.
• Define the bid win themes and value proposition.

Proposal Development:
• Coordinate and facilitate meetings to gather input from subject matter experts.
• Write, edit, and review proposal content to ensure clarity, consistency, and compliance with client requirements.
• Create compelling executive summaries and presentations.
• Manage the overall proposal development timeline.

Contract Review and Negotiation:
• Read and understand legal contracts associated with bid submissions.
• Collaborate with the legal department to address questions and concerns regarding contract terms and conditions.
• Participate in contract negotiation discussions, ensuring alignment with organizational objectives and risk management strategies.

Budgeting and Resource Allocation:
• Estimate and manage the budget for each bid, including costs associated with proposal development.
• Allocate resources effectively, including proposal team members and external consultants.

Quality Assurance:
• Ensure the highest quality standards for all proposal materials.
• Review proposals for accuracy, completeness, and adherence to client guidelines.
• Implement best practices for proposal development and continuously improve processes.

Client Engagement:
• Maintain regular communication with clients to clarify requirements and address questions.
• Develop and nurture strong client relationships to enhance our chances of winning bids.
• Participate in client meetings and presentations as needed.

Competitive Analysis:
• Identify and analyze competitor strengths and weaknesses.
• Develop strategies to differentiate our proposals in a competitive environment.

Knowledge Management:
• Maintain a library of proposal content, templates, and case studies for future reference.
• Ensure that the organization's proposal materials are up-to-date and reflect current capabilities.


Qualifications:
• Prior exposure to proposal processes and contracts is highly preferred
• Must have excellent communication, writing, and multi-tasking skills, as well as the ability to organize and prioritize tasks
• Must be a well-organized, detailed oriented and self-motivated professional who will be able to perform well in a deadline driven environment
• Able to write logically and persuasively
• Heightened attention to detail
• Driven to learn with an inherent curiosity
• Proficient in Microsoft Office Suite, Microsoft SharePoint and Adobe Acrobat
• Exposure, interest and knowledge of IT Services is highly preferred
• Project management Certification is preferred
